1. General

These Terms & Conditions govern all tour packages, hotel bookings, transportation, sightseeing, pilgrimage tours, student group tours, corporate travel, and other travel-related services provided by Bhubaneswar Travel Mart.

By confirming any booking with us, the guest / traveler / client agrees to these Terms & Conditions.

2. Booking Confirmation
All bookings are subject to availability at the time of confirmation.
A booking shall be treated as confirmed only after receipt of the required advance payment and written confirmation from our side.
Hotel rooms, vehicle category, sightseeing tickets, darshan slots, and other services are subject to availability.
Verbal discussions or package proposals shall not be treated as final confirmation unless confirmed in writing.
3. Payment Policy
A specified advance payment is required to confirm any package / service.
The balance payment must be cleared before or during the trip as per the agreed payment schedule.
In certain cases, 100% advance payment may be required for hotels, festive dates, peak season, luxury bookings, train / flight tickets, and special event dates.
Delay in payment may lead to automatic release / cancellation of reservations without prior notice.
All payments must be made through approved payment methods shared by Bhubaneswar Travel Mart.
4. Package Rates
All package prices are based on current hotel rates, transport costs, taxes, permits, and operational charges.
Rates are subject to change in case of:
Hotel tariff revision
Fuel price increase
Government tax changes
Entry fee / monument fee revision
Permit / parking / toll revision
Seasonal or event-based rate changes
Any increase in operational cost after booking may be chargeable additionally, if applicable.
5. Hotel Policy
Standard hotel check-in and check-out timings shall apply as per hotel policy.
Early check-in / late check-out is subject to hotel availability and may involve extra charges.
Hotel categories shown in package proposals are based on the selected package type (Standard / Deluxe / Premium / Ultra Premium / Luxury).
In case the mentioned hotel is unavailable, we reserve the right to provide a similar or upgraded hotel of comparable standard, subject to operational feasibility.
6. Transportation Policy
Vehicle usage is strictly as per the agreed itinerary and operational timings.
AC may be switched off in:
hilly areas,
ferry points,
temple parking zones,
vehicle stand-by periods,
government restricted zones,
and where local regulations require.
Vehicle is not at disposal for personal / unscheduled / extra movement unless specifically included.
Extra usage, route deviation, night halt extension, additional sightseeing, or waiting charges may be charged additionally.
Seat allocation in group vehicles shall be as per operator arrangement.
7. Sightseeing & Itinerary
Sightseeing will be conducted as per the confirmed itinerary.
The itinerary may be adjusted, rearranged, or modified due to:
weather,
traffic,
temple timing,
local restrictions,
crowd management,
VIP movement,
road closure,
operational reasons,
force majeure conditions.
Unused services, missed sightseeing, delayed arrival, or voluntary non-utilization of any service will generally not be refundable.
8. Darshan / Temple Visits
Temple darshan timings are controlled by the respective temple administration and may change without notice.
Special darshan / VIP darshan / queue system / temple entry conditions are entirely subject to local temple authority rules.
We act only as a travel facilitator and cannot guarantee:
crowd-free darshan,
fixed darshan duration,
temple entry during restricted timings,
or special access not officially permitted.
Guests must strictly follow all religious and temple guidelines, dress code, and local customs.
9. Entry Tickets / Permits / Activities
Monument tickets, boating tickets, zoo tickets, museum tickets, safari tickets, darshan tickets, and activity tickets are included only if specifically mentioned in the package inclusion.
If any entry ticket / activity is not mentioned in inclusions, it shall be chargeable extra.
Such tickets are subject to:
government rules,
online availability,
weather conditions,
operational permissions,
and local authority approval.
10. Child Policy
Child age policy shall be applicable as per hotel / transport / activity provider rules.
Child without bed / with bed charges will apply according to the package and hotel policy.
Parents / guardians are solely responsible for children during the entire journey.
11. Student / Group Tour Policy
For student groups, school / college / institution management shall be responsible for:
student discipline,
head count,
supervision,
safety monitoring,
room allocation coordination,
and movement management.
Teachers / coordinators / guardians must accompany the group as per requirement.
Any damage caused by students / group members to hotel, transport, or property shall be chargeable to the group / institution.
12. Guest Responsibilities

All guests are requested to:

carry valid ID proof,
maintain proper conduct,
respect local culture and traditions,
follow hotel / vehicle / guide / temple / destination rules,
take care of personal belongings,
report issues immediately during the tour.

Any misconduct, illegal activity, intoxication-related nuisance, or damage to property may result in termination of services without refund.

13. Cancellation Policy

Cancellation charges will apply from the date we receive written cancellation request.

Suggested Standard Cancellation Policy:
30 days or more before arrival – Booking amount / communication charges may apply
15 to 29 days before arrival – 25% cancellation
7 to 14 days before arrival – 50% cancellation
3 to 6 days before arrival – 75% cancellation
Within 72 hours / No Show – 100% cancellation
Important:
During festive dates / peak season / special darshan / luxury bookings / long weekends / event periods, cancellation may be 100% non-refundable depending on supplier policy.
Flight / train / ferry / online permit / monument / darshan / safari / ticket bookings may carry separate cancellation rules.
14. Refund Policy
Refunds, if applicable, shall be processed only after receiving the refund from the respective hotel / transport / service provider / vendor, wherever applicable.
Processing time may vary depending on the banking channel and vendor settlement timeline.
Service charges, convenience fees, transaction charges, permit charges, ticket charges, and non-refundable booking components may be deducted.
15. Amendment / Rescheduling
Any amendment in date, hotel, vehicle, itinerary, guest count, or route after confirmation shall be subject to availability and additional charges.
Rescheduling requests are not guaranteed and shall depend on hotel / transport / supplier policies.
Price differences arising due to date change or revised service requirement will be payable by the guest.
16. Travel Delays / Missed Services

We shall not be responsible for losses or missed services due to:

flight delay / cancellation,
train delay,
traffic jam,
road block,
weather disruption,
bandh / strike,
natural calamity,
political disturbance,
government restrictions,
or any reason beyond our control.

No refund shall be applicable for unused services due to delayed arrival or early departure by the guest.

17. Liability Disclaimer

Bhubaneswar Travel Mart acts as a tour operator / travel organizer / service facilitator for hotels, transporters, guides, activity vendors, and third-party suppliers.

While we take utmost care in selecting service providers, we shall not be directly liable for:

injury,
accident,
illness,
loss / theft of baggage,
damage to personal belongings,
delay,
supplier failure,
service interruption,
or any unforeseen incident beyond our operational control.

Guests are advised to take proper precautions and, where necessary, travel insurance.

18. Force Majeure

We shall not be held responsible for cancellation, interruption, delay, route change, or non-performance caused by events beyond reasonable control, including but not limited to:

natural disasters,
floods,
cyclones,
heavy rain,
landslides,
fire,
epidemic / pandemic,
government restrictions,
curfew,
war,
riots,
strikes,
political disturbances,
or any other force majeure event.

In such cases, actual cancellation / retention charges imposed by suppliers shall apply.

19. Photography / Promotional Use

Unless specifically objected in writing, photographs / videos shared by guests or captured during tours may be used by Bhubaneswar Travel Mart for promotional, social media, website, and marketing purposes.

If any guest does not wish such use, they must inform us in writing in advance.

20. Special Requests

Special requests such as:

adjacent rooms,
room view,
floor preference,
meal preference,
wheelchair support,
darshan timing preference,
vehicle preference,
or any customized requirement

shall be treated as request only and are subject to availability, not guaranteed unless explicitly confirmed in writing.

21. Jurisdiction

Any dispute arising in relation to bookings or services shall be subject to the jurisdiction of Bhubaneswar, Odisha only.

22. Acceptance

By confirming any service / booking / payment with Bhubaneswar Travel Mart, the guest confirms that they have read, understood, and accepted these Terms & Conditions.
